Fleet Operations Admin
The Fleet Operations Admin keeps the paperwork and people-flows behind Verne’s fleet and AVO (Autonomous Vehicle Operator) organisation running smoothly as the team scales. This is the role that makes sure onboarding batches land on time, schedules are published, training records are current, and compliance documentation for vehicles, insurance, and taxi licences never lapses. As Verne grows from one live market to several and the AVO team scales alongside the fleet, this role holds the operational plumbing that keeps the service running.

What will you do?
Coordinate onboarding for new employees every 3-4 weeks, typically in batches of 8-15 people. Work with People & Culture on start-date logistics, equipment, and Verne Academy scheduling.
Prepare and maintain weekly and monthly work schedules for the Customer and R&D AVO streams, ensuring adequate coverage against the operational plan set by Service Operations. Maintain attendance, overtime, and disciplinary records in coordination with People & Culture, supporting monthly payroll submissions and Manager decisions.
Provide administrative support to Verne Academy - exam applications, medical check-ups, training records, and completion certificates.
Manage the Uber Fleet Portal end-to-end - AVO compliance, documentation, expirations, and data accuracy. Escalate any compliance risk to the Fleet Operations Manager immediately.
Handle day-to-day administration for the AVO organisation - headset handovers, workwear distribution, equipment records, lockers - and support Finance & Procurement on POs, invoice follow-up, and supplier coordination for fleet-related spend.
Maintain site safety and incident records for the depot - near-miss reports, incident logs, working-conditions documentation - and escalate any material safety concern to the Fleet Operations Manager immediately.
Maintain fleet-related administration - vehicle registrations, insurance, taxi licences - with clear tracking of expiration dates and Manager sign-off on all renewals.
Help continuously improve administrative processes, trackers, and templates as the operation scales - the systems that work at 20 AVOs will not work at 100.
What do you need to succeed?
3-5 years in an operations coordinator, admin, or scheduling role, ideally in a fast-paced fleet, logistics, transport, or hospitality environment.
Strong organisational and administrative skills - comfortable managing multiple deadlines and schedules at once without dropping anything.
Detail-oriented, particularly with compliance-related documentation - you will be the last line of defence on expiration dates.
Proficient with spreadsheets (Excel) and documentation tools (SharePoint, Confluence).
Comfortable working with an HR system, the Uber Fleet Portal, and procurement/finance workflows.
Fluent in Croatian and English (Croatian required for regulator-facing paperwork, English for internal coordination and the Uber Fleet Portal).
Comfortable escalating early rather than trying to solve compliance issues alone. Willing to work in the office in Zagreb - this role does not work well remotely.
